This policy explains when and why we collect personal information about people who use our website, send in written forms for accessing our services. It tells you how we use it, the reasons why we may need to share it with others and how we keep it safe.

Who manages this website?
The RSPCA Leeds, Wakefield & District Branch CIO own and edit the content of this website. Electroville runs the website. RSPCA Leeds, Wakefield & District Branch are dedicated to animal welfare and prevention of animal cruelty. The branch is a separately registered charity from the National Society and totally self-funded by generous donations from members of the public to support our work locally.
What information do we collect and how do we use it?
We obtain information about you when you use our website, when you contact us about animal adoption, room hire or other services, to make a donation, to register to receive one of our newsletters or sign up to a sponsored event or purchase tickets for events to post out to you. The personal information we collect might include your name, address, email address, IP address, and information regarding what website pages are viewed. If you make a donation online through JustGiving or purchase a product from us, your card information is not held by us, it is collected by a third party payment processor, who specialise in the secure online processing of credit/debit card transactions.
Your information may be used to:
- process a donation that you have made;
- process orders that you have submitted;
- to carry out our duties in relation to any contracts/arrangements entered into by you and us.
- send you information which you have requested which may include information about campaigns, appeals, other fundraising events, activities.
- process a grant or job/volunteer application.
- A legitimate reason under GDPR regulations for requesting & processing information
We have a legal obligation to hold some types of information to fulfil our statutory responsibilities (e.g. the collection of Gift Aid). We will need to hold your personal information on our systems for the relevant activity but it will not be kept for longer than is absolutely necessary for that activity. We will not sell or share your information to external third parties for any reason. We will not transfer your information outside of Europe
We may share your personal information with a third party such as branch fosterers, home visitors, neighbouring branches or vets to enable treatment or adoptions to take place, however, we will endeavour to ensure that your privacy rights continue to be protected.
GDPR and your contact preferences
We will always ensure we follow the 6 data protection principles of GDPR when processing data and making contact with supporters. We will not contact you for marketing purposes by email, post, phone or text message unless you have requested it and given your prior consent. Online Payments
Security precautions are in place to protect the loss, misuse or alteration of your information. When you give us personal information, we take steps to ensure that it’s treated securely. Any sensitive information (such as credit or debit card details) is processed through systems such as PayPal and Stripe and reliant on their encrypted and protected processes. When you are on a secure page, a lock icon will appear on the bottom of web browsers such as Microsoft Internet Explorer.
Security & Cookies
Non-sensitive details (your email address etc.) are transmitted normally over the Internet, which is never guaranteed to be 100% safe. We do our best to protect your personal information but we cannot guarantee the security of any information you send to us, and you do so at your own risk. Once we receive your information, we do our best to keep it safe.
Many websites, like ours use ‘cookies’. ‘Cookies’ are sent by an organisation through their website to recognise you when you visit. Statistical data about your browsing does not identify you as an individual and there is more information on the website about the types of ‘cookies’ used. It is possible to switch off ‘cookies’ by setting your browser preferences.
Website links – Our website may contain links to other organisational websites and this privacy policy only applies to our branch website. Please read the privacy policies for any other websites you visit as we cannot be responsible for the privacy practice of other sites even if you access those using links from our website or theirs.
16 or under/Vulnerable adults – We take the protection of children, young or vulnerable people very seriously. If you are aged 16 or under‚ please seek assistance or obtain your parent/guardian’s permission first whenever you provide us with personal information.
Supporters
The branch will keep your details securely for the time whilst you support our branch. We will not share your details (name, email address, address, contact number etc.), with any third parties unless we are required to by law.
Forever Paws Scheme
We will collect and process your data when you sign up to our Forever Paws Scheme. This is so we can send you a welcome back and also contact you each year to make sure you want to carry on being on the scheme.
Voucher Scheme
From time to time, we offer voucher schemes which could be for free neutering or for a contribution towards it. We will therefore take your details and store them for these purposes only. We will liaise with the local vets and give them your details to book your pet in for the treatment. Your personal details will only be kept for these purposes and will be deleted when appropriate and no longer needed.
Rehoming an animal from us
We’ll need to share personal information such as your name, address and telephone number, to enable a home visit when you apply to rehome an animal from us.
All animals are microchipped when they’re rehomed from us; this is a legal requirement in relation to dogs. We use the company Pet Log for our microchips. Therefore, we will share your personal information with Pet Log in case your animal goes missing.
We will also share your personal information with Pet Plan, our pet insurance provider, so they can offer you up to 4 weeks free pet insurance. If you take this up, Pet Plan will contact you with an offer to extend the cover after the free period ends.
Volunteers, staff and job applicants
If you apply for a job with us, we will hold your personal information to process your application. We will also keep staff and volunteer personal details for the purposes of the role, and we will not hold your personal information for any longer than is necessary. We will delete your personal information in accordance with our retention policies.
Animal Centre Security
CCTV – We have CCTV on branch premises which is used to prevent crime internally & externally and for the benefit of public safety on our premises. Access to the images is restricted and password protected but may be accessed in the event that animals or people are at risk. Access to the images can be by the CEO, the approved & registered security monitoring station, the Police or the Security Company responsible for the maintenance of the system. Routine viewing of images from the cameras installed is prohibited.
